Establishing data confidence

Challenge

Imaging departments have a wealth of data sources, yet each gives differing views; this makes it difficult to derive meaningful information without establishing a ground truth and data consistency.

Method

Deployed a network listener to capture HL7 and DICOM. Aggregated and reconciled data from RIS, PACS, EMR, and workflow engine with triangulated output.

Impact

Identified and addressed root causes for data discrepancies; established

meaningful metrics for specific departmental performance indicators. Streamlined reporting approach across managers and reduced reporting time.

Accommodating higher patient case complexity through optimizing resources

Challenge

A hospital’s Interventional Radiology (IR) service line was caring for more severely ill patients and performing more complex procedures, changing the way IR staff organized and conducted work

Method

Assessed current state of the IR service line and the resources required to meet patient needs, by combining data from hospital billing with RIS data to compute a department level Case Mix Index (CMI)

Impact

  • Created a more transparent representation of the IR service line to enable appropriate resource allocation
  • Confirmed Radiology’s average and IR section CMIs (2.83 & 1.93 respectively) were higher than the average hospital CMI of 1.81

Reducing turnaround times

Challenge

Lengthy order to complete turnaround times (TATs) and ineffective processes and professional staffing were causing operational inefficiencies and significant delays in the imaging department (e.g., >70 minutes for contrast CT, >80 minutes for MR with contrast)

Method

Identified target protocols by looking at patient volume and durations, and performed a deep-dive root cause analysis into the source of delays.

Impact

  • Restructured procedures to minimize and avoid delays
  • Identified three top reasons for subpar TAT performance: long delays in lab results, IV starts and Reading TATs

Right-sizing for current demand and future growth, challenging the 1-1 replacement mindset

Challenge

With an upward trend in patient volume and an aging technology fleet, an imaging department needed to ensure it was right-sized for current and future demand

Method

Benchmarked current patient volumes, studied current equipment and utilization, and mapped utilization against efficiency benchmarks. Also analyzed referral network and market growth rate

Impact

  • Coupled utilization and age of technology data to create a plan to achieve optimal equipment use and address updates to the aging technology fleet, without using a 1:1 replacement mindset
  • Potential savings of $1.5M in over 10 years
